1. About Us
Warrington Pain Clinic is operated by Ema Gregory-Scott, Advanced Clinical Massage Therapist, trading from 82 Whitchurch Close, Warrington, WA1 4JZ. You can contact us by phone on 07912 609143 or by email at info@warringtonpainclinic.co.uk.
These terms apply to all appointments, gift vouchers, discount codes, and VIP membership agreements with Warrington Pain Clinic.
2. Booking and Payment
All appointments are booked online at warringtonpainclinic.co.uk/bookings and are subject to availability. Bookings must be made at least 48 hours in advance. Full payment is required at the time of booking to secure your appointment.
In exceptional circumstances an alternative payment arrangement may be agreed in advance — please contact us to discuss before booking.
By completing a booking you confirm that you have read and agree to these terms and conditions.
3. Consultation Form
All new clients are required to complete a consultation form before their first appointment. This is mandatory. The information you provide allows Ema to plan your treatment safely and effectively, and is required for insurance purposes. You can complete the form at warringtonpainclinic.co.uk/consultation-form.
If you have not completed the form before you arrive, time will need to be taken from your appointment to do so. Please ensure it is done in advance.
4. Cancellation and Rescheduling
We understand that life happens. If you need to cancel or reschedule, please give us as much notice as possible.
- 48 hours or more notice — You are entitled to a full refund or a free reschedule. No questions asked.
- Less than 48 hours notice — We reserve the right to retain 100% of the appointment fee. That said, we consider each situation individually. If you contact us and explain your circumstances — particularly in cases of genuine emergency, illness, or pregnancy-related issues — we will always try to find a fair solution.
- No-shows — If you do not attend your appointment and have not contacted us, the full appointment fee will be retained.
If you need to reschedule, please follow the steps in our reschedule guide. Please note that 48 hours notice is required to reschedule without charge.
In the event that circumstances outside of our control prevent us from providing a prepaid treatment — for example severe weather or illness — you will be offered the choice of rebooking a future date or a full refund within 10 days of notice being given.
5. Late Arrivals
Please aim to arrive on time for your appointment. If you arrive late, your treatment time may be reduced accordingly to avoid disruption to clients booked after you. We will always do our best to accommodate you, but we cannot guarantee the full treatment time if you arrive significantly late. The full appointment fee remains payable regardless of arrival time.
6. Health and Medical Conditions
It is your responsibility to disclose any relevant health conditions, injuries, medications, or changes to your health on your consultation form and at the start of each appointment. This includes pregnancy.
Ema reserves the right to decline or modify a treatment if she believes it is not safe or appropriate based on the information provided. Where a treatment cannot go ahead for health reasons, a refund or reschedule will be offered.
Massage therapy is not a substitute for medical advice or treatment. If you have a medical condition, please consult your GP or relevant healthcare professional before booking.
7. Gift Vouchers
- Gift vouchers are valid for 12 months from the date of purchase.
- Gift vouchers are non-refundable and may not be exchanged for cash.
- Gift vouchers may be used as full or part payment against any treatment and can be used across multiple bookings until the balance is used up.
- If an appointment is cancelled with less than 48 hours notice, the gift voucher balance used to pay for that appointment may be forfeited.
8. Promotional Codes
- Promotional codes are issued occasionally via email and to VIP members, who receive a 20% discount code valid on any booking.
- Only one promotional code may be applied per booking.
- Some codes may be subject to specific terms which will be made available at the time of issue.
9. VIP Membership
The VIP membership is a monthly subscription giving access to a discounted treatment each month plus additional member benefits. Full details of current packages and pricing are available at warringtonpainclinic.co.uk/warrington-massage-vip.
- Minimum term — The minimum membership term is 3 months. You cannot cancel within the first 3 months of joining.
- Cancellation — After the minimum term, you may cancel by giving 30 days written notice by email to info@warringtonpainclinic.co.uk.
- Session rollover — Unused monthly sessions can be rolled over for up to 3 months. Sessions unused after 3 months will expire and cannot be refunded.
- Payment — Membership fees are collected monthly by standing order. Bank details will be provided upon joining. It is the member's responsibility to set up and maintain the standing order. If a payment is missed, your membership may be paused until payment is resolved.
Warrington Pain Clinic reserves the right to amend membership pricing or benefits with 30 days notice to existing members.
10. Privacy
Your personal data is collected and processed in accordance with our Privacy Policy. Health information collected via the consultation form is treated as sensitive data and handled with the highest level of care in line with GDPR.
11. Behaviour and Right to Refuse
Warrington Pain Clinic reserves the right to refuse or discontinue treatment to any client whose behaviour is inappropriate, aggressive, or makes the therapist feel unsafe. In such cases no refund will be given.
12. Liability
Warrington Pain Clinic carries full professional indemnity and public liability insurance. Our liability is limited to the value of the treatment purchased. We are not liable for any indirect or consequential loss arising from your appointment.
13. Changes to These Terms
We reserve the right to update these terms at any time. The current version will always be available on our website. Continued use of our services constitutes acceptance of the current terms.
